1. About Edeso
Edeso is a church management system designed to help churches and faith-based organizations manage their communities. Our platform enables churches to collect, process, and store information about their members, including but not limited to:
- Contact details (name, email, phone number, address)
- Account activity (login and logout dates, session records)
- Membership information (status, groups, roles)
- Religious and community-related data (such as baptizing dates or other custom fields configured by the church)
Edeso acts primarily as a data processor on behalf of our clients (churches). Churches using Edeso act as data controllers and are responsible for determining the purposes and lawful basis of personal data processing.
2. Eligibility
By using the Services, you confirm that:
- You are at least 18 years old or have the consent of a parent or guardian.
- You have the authority to enter into binding agreements.
- Your use of the Services complies with all applicable laws and regulations.
3. User Accounts
- To access certain features, you must create an account. You agree to provide accurate and complete information.
- You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account.
- You must notify us immediately of any unauthorized use or security breach.
4. Data Collection & Processing
We process personal data strictly for the purpose of providing the Services to our clients. Types of data may include:
- Identity and contact information (name, email, phone, address)
- Membership details (church groups, roles, status)
- Activity logs (logins, logouts, attendance records)
- Religious or community data (e.g., baptizing dates, custom fields defined by the church)
Role of Edeso
- Edeso acts as a data processor and processes data only under the documented instructions of the client (church).
- Each church remains responsible for ensuring a lawful basis for processing and for providing privacy notices to its members.
- Edeso and each client enter into a Data Processing Agreement (DPA) as required under Article 28 GDPR.
Sub-processors
- Edeso may engage trusted sub-processors (e.g., hosting providers, IT support).
- Sub-processors are bound by contractual obligations ensuring the same level of data protection.
- A current list of sub-processors is available upon request.
Special Category Data
- Religious affiliation and baptism details are considered special category personal data.
- Edeso processes such data only under client instructions and implements appropriate safeguards.
5. Acceptable Use
You agree not to:
- Use the Services for unlawful, abusive, or fraudulent purposes.
- Upload, share, or process data you do not have the legal right to collect.
- Attempt to interfere with or disrupt the Services, servers, or networks.
- Reverse-engineer, copy, or exploit any part of the Services without authorization.
6. Intellectual Property
All intellectual property rights in the Services, including but not limited to software, trademarks, logos, and content, are owned by or licensed to Edeso. You are granted a limited, non-exclusive, non-transferable license to use the Services solely in accordance with these Terms.
7. Payment & Subscription
- Some features may require a paid subscription.
- Fees are non-refundable unless otherwise required by law.
- Pricing may change at any time with prior notice.
8. Termination
We may suspend or terminate your access to the Services if you:
- Violate these Terms.
- Fail to make payments where applicable.
- Engage in activities that may harm Edeso, its clients, or its users.
Upon termination, your right to use the Services immediately ends. Data associated with your account will be handled in accordance with our Data Retention Policy.
9. Limitation of Liability
To the fullest extent permitted by law:
- Edeso is not responsible for the accuracy, legality, or content of data uploaded by churches or users.
- We are not liable for indirect, incidental, or consequential damages arising from the use of the Services.
- Our total liability is limited to the amount you paid us in the 12 months preceding the claim, except where prohibited by mandatory data protection law.
10. Data Security & Privacy
- Edeso implements technical and organizational measures appropriate to the risk, including encryption, access controls, and regular audits.
- No system is completely secure, and you acknowledge the inherent risks of online data transmission.
- We do not sell personal data to third parties.
- Processing is limited to providing the Services and fulfilling legal obligations.

11. Data Subject Rights
- Data subjects (church members) may exercise their rights of access, rectification, erasure, restriction, portability, and objection under applicable law.
- Requests must be directed to the church (controller).
- Edeso will assist churches in fulfilling these requests as required under GDPR Article 28(3)(e).
12. International Compliance & Data Transfers
- Edeso operates globally, and data may be transferred and stored outside the country of origin.
- Where personal data is transferred outside the European Economic Area (EEA) or the UK, we implement appropriate safeguards, including Standard Contractual Clauses (SCCs) or adequacy decisions.
13. Third-Party Services
- The Services may integrate with third-party applications.
- Edeso is not responsible for the availability, accuracy, or security of such third-party services.
- Use of third-party services is at your own risk.
14. Changes to These Terms
We may update these Terms from time to time. Any changes will be posted on this page with a revised “Last updated” date. Continued use of the Services after changes constitutes acceptance of the new Terms.
